The Finance Team invoices and collects generated revenue by building relationships with property management partners, completes company-wide payroll for employees and independent contractors, and ensures good financial standing for the company.

Position Summary: The Account Executive is responsible for full-cycle relationship management from new relationship management through to collections. They will leverage all forms of communication to get the job done from property visits, to phone calls, to emails. They fully own the collection of Smart City invoices from property partners. The Account Executive ensures that invoices accurately reflect terms, conditions, and responsibilities, while investigating and validating invoices, resolving discrepancies and errors. Identifies and nurtures strategic relationships with partners or potential clients (properties) and ensures that all partners have an updated vendor agreement or are under contract in some capacity with Smart City. They nurture a strong pipeline of new business opportunities through inbound opportunities or current relationships. To succeed in this, they will work cross-functionally with marketing and sales to initiate business development partnerships which could potentially convert to promotions internally or externally. This role understands that our clients and agents are the fuel that powers growth for the company and executes with the mindset that puts the client and agent first.

Essential Functions:

  • Collections Management:
    • Consistently communicate with properties regarding current invoices while managing invoice aging.
    • Resolve billing discrepancies and design preventative measures using root cause analysis.
    • Escalate and resolve past-due invoices, and secure commitment for payment.
    • Oversee escalations for payment with the highest levels of leadership.
    • Use discretion to offer payment plans, discounts, or implement other negotiation tactics to encourage cash collection of past due invoices. Alternative collection measures on accounts are authorized without formal supervisor approval.
    • Maintain up-to-date records of non-paying properties and cascade status changes with various departments.
  • Relationship Management:
    • Maintain relationships with property management groups within the Houston market.
    • Engage property clients on the implementation of property payment portals and encourage adoption across markets.
    • Be the sole liaison between property management leaders and sales by being the full-cycle relationship manager for Smart City Locating’s Houston location.
  • Market Management:
    • Serve as a focal point to resolve issues received including invoicing and billing issues for all properties and all sales agents within the assigned market.
    • Full ownership of customer inquiries, providing timely customer service support on issues related to billing, status, cancelation, etc.
    • Escalates issues in a timely manner to the General Manager and Sr. Business Operations Manager.
  • Leverage multiple forms of communication to ensure responsibilities are met, from email to phone calls to property visits.
  • Be the Property & Collections subject matter expert.
  • Be agile and adjust execution strategies based on current business needs while assisting with process review and improvement.
  • Create periodical reports of department, team, functional and/or market insights.
  • Participate in team meetings and collaborative sessions, generate new ideas and execute.
  • Assist with efforts in other markets, as needed.
  • All other duties as assigned.

Required Education and Experience:

  • High School Diploma or equivalent is required
  • Associates or Bachelor’s Degree in accounting, business, or related field is preferred
  • 3-5 years of experience in account management, business development or other sales functions
  • Experience in multi-family property management is preferred
  • Experience in Accounts Receivable or Collections efforts
  • Experience in basic accounting principles, policies, and procedures including GAAP, accrual, debits/credits, journal entries, and month end close is preferred

Required Skills / Abilities:

  • Accounts Receivable Platforms or Modules, such as Invoiced
  • Quickbooks or similar Finance Modules or ERP software suite
  • Google Workspace (Gmail, Calendar, Docs, Sheets, etc)
  • Experience with Excel or Google Sheets is preferred
  • Experience using a CRM platform is preferred
  • Understanding of Mac OSX and iPhone iOS for business
  • Comfortable communicating to director, regional, and VP-level partners
  • Thorough understanding of the business model and the life-cycle of our revenues
  • Thorough understanding of Generally Accepted Accounting Principles (GAAP)
  • Thorough understanding of Generally Accepted Auditing Standards
  • Thorough understanding of methods of systems analysis and the principles, design, and procedural methods used in data analysis

Physical Requirements:

  • In-office role based out of Houston, TX.
  • Ability to travel to properties around the city is required.
  • Travel to other markets may periodically be required.
  • Assures that safety regulations are followed at all times.
  • Adherence to compliance measures implemented by governing bodies such as but not limited to OSHA & the CDC. Follows policies and procedures including infection control, universal precautions, and exposure control plans when performing daily tasks.
  • Reports hazardous conditions, accidents, and incidents to the immediate supervisor.
  • Must be able to lift up to 25 lbs.
  • Requires standing, walking, bending, kneeling, stooping and crouching.

Expected Hours of Work:

  • Typical business hours: 8:30am - 5:30pm Monday - Friday, availability for escalations may be needed outside of normal business hours.

Travel Outside of Houston:

  • Up to 10% of the time.
  • Minimal travel may be required for business functions, team training, and culture events.
