TITLE: Administrative Specialist

FLSA STATUS: Non-Exempt

POSITION TYPE: Full-time, Hourly

REPORTS TO: Director of People, Human Resources Department

COMPENSATION: $14-$16/hr

OFFICE HOURS: Monday - Friday 9:00am - 6:00pm

SCOPE:

  • Office Management
    • Oversee office security
    • Maintain office cleanliness at all times
    • Establish and maintain all office vendor relationships and source new vendors as necessary
    • Oversee and execute opening and closing duties
    • Maintain adequate supplies for all offices by monitoring the supply checklist for each city
    • Communicate with satellite cities and place supply orders as necessary
    • Allocate all three cities office budgets and handle all necessary maintenance and supply ordering
    • Assist in office repair requests and coordinate with contractors
    • Report expenses weekly
  • Reception
    • Serves visitors by greeting, welcoming, and directing them appropriately
    • Notifies company personnel of visitor arrival
    • Informs visitors by answering or referring inquiries
    • Directs visitors by maintaining employee and department directories
  • Administrative
    • Oversee and execute projects as needed when delegated from management
    • Perform administrative tasks such as booking travel, appointments, and running errands
    • Assist in Human Resources administrative projects from the Director of People
    • Attend weekly HR Alignment meetings and provide an update to the Director of People on all office management, reception, and administrative activities for the prior week and current week.

The Administrative Specialist is permitted to utilize their personal devices for work purposes.
